How we collect, use, and protect your personal information, in line with UK GDPR and the Data Protection Act 2018.

Who we are

Inovatech AI & Cyber Solutions is an independent, self-employed sole trader based in the United Kingdom, operating from the domain inovatech-solutions.co.uk. For the purposes of UK data protection law, we are the data controller for the personal information described in this policy.

What information we collect

  • Information you give us through our contact form: your name, email address, phone number, and the details of your enquiry.
  • Information you send to our website assistant: the messages you type, which are processed to answer your question.
  • Information you provide when you become a client: your business and billing details, and any account access you choose to share so we can carry out the work.
  • Basic technical and usage data collected automatically, such as your approximate location, browser type, and how you use the site. See our Cookie Policy for detail.

How we use it, and our lawful basis

We only use your information for clear, limited purposes:

  • To respond to your enquiry and prepare a quote. Lawful basis: taking steps at your request before entering a contract.
  • To deliver the services you engage us for and manage our contract. Lawful basis: performance of a contract.
  • To send invoices and keep accurate financial records. Lawful basis: legal obligation and legitimate interests.
  • To maintain and improve our website. Lawful basis: legitimate interests, balanced against your rights.

Who we share it with

We keep your information private and never sell it. We share it only with the trusted providers we use to run the business, who act on our instructions: website hosting (such as Vercel), email and productivity providers (such as Google Workspace or Microsoft 365), the AI providers that power our assistant (such as Anthropic or OpenAI), and our accountant or bookkeeping software.

Some providers are based outside the UK, including in the United States. Where information is transferred abroad, we rely on appropriate safeguards such as the providers’ standard data protection clauses or an adequacy decision.

How long we keep it

We keep enquiry information for up to 12 months if it does not lead to work. We keep client and financial records for at least six years after the end of our relationship, as required by UK tax law. We delete or anonymise information once we no longer need it.

Your rights

Under UK data protection law you have the right to:

  • Ask for a copy of the personal data we hold about you.
  • Ask us to correct anything that is wrong, or delete data we no longer need.
  • Object to or restrict how we use your data in certain circumstances.
  • Withdraw consent at any time where we relied on it.

Security

We take reasonable technical and organisational measures to protect your information, including HTTPS on this website, access controls, and a password manager with multi-factor authentication on our accounts. No system can be guaranteed completely secure, but we take this seriously.

Changes to this policy

We may update this policy from time to time. The current version is always published here, with the date it was last updated.
